The Youth Coordinator provides administrative, operational, and programmatic support to the Youth Department. This role is responsible for the accurate execution of daily department operations, coordination of youth programs and events, and maintenance of records, communications, and resources. Independently manages responsibilities, ensures accuracy and compliance across all processes, and proactively identifies opportunities to improve efficiency and advance department objectives.
Responsibilities:
Contributes to the management of programs, including recommending strategies, reviewing data, and seeking opportunities for improvement
Actively engages in efforts driving membership growth, member development and the promotion of equine education
Advises leadership on an ongoing basis of opportunities and risks related to youth development
Updates, develops and maintains written and digital resources, AQHA web content, digital learning tools and online resources
Coordinates and/or supports fundraising and sponsorship-related activities to support revenue generation
Ensures fulfillment of contracts and agreements including but not limited to deliverables, correspondence, post-analysis
Manages and implements the daily business operations of the youth department, including but not limited to planning, efficient management of resources, and daily administrative tasks
Supports the successful management of programs, resources, events and activities for American Quarter Horse youth and young adult matters through activities including but not limited to:
Correspondence and communication with members and committee members
Supporting the maintenance of records and confidential information
Corresponding with members
Processing entries and event registrations
Managing the department’s payment requests and contracts
Tracking and processing of financials
Scheduling and correspondence related to meetings
Administration of programs, activities, and resources
Plans and executes events and activities including but not limited to in-person, virtual and remote meetings, workshops, trips and programs
Attends events as required, including travel when required
Provides outstanding service to members and adult leaders as well as colleagues
Works closely with leadership in the youth department
Provides suggestions on an ongoing basis to improve efficiency and service to members
Other duties as assigned
Education Requirements:
Bachelor’s degree is preferred. Work experience can substitute for a degree.
Specific Knowledge and Skillsets:
Strong attention to detail with proven ability to manage administrative processes accurately
Excellent organizational, time-management, and prioritization skills
Strong written and verbal communication skills
Ability to work independently and manage multiple deadlines simultaneously
Proficiency with standard office technology, databases, and digital platforms
