Project Manager - Ranch House Designs

Full-Time 


Job Overview:

Ranch House Designs is seeking a proactive and solutions-oriented Project Manager to oversee 20 to 30 projects simultaneously, including website development, graphic design, printed materials, and social media graphics. We need someone who excels at solving problems independently, follows established workflows, and ensures that projects are seamless for clients. Your goal will be to manage projects so that clients simply have to say, “Looks great, let’s go!”


Key Responsibilities:

  • Project Coordination: Take ownership of projects from sales handoff to final delivery, ensuring that the design, proofing, and fulfillment stage is executed smoothly.

  • Client Solutions: Practice the “doctrine of completed staff work” by presenting polished, ready-to-go solutions to clients and supervisors without the need for excessive guidance.

  • Workflow Management: Follow pre-set checklists and processes for various project types. Ensure all tasks are completed according to established workflows.

  • Vendor Management: Work with external vendors such as printers and online services to fulfill client orders. Be resourceful in finding solutions for client needs like printing services or project fulfillment.

  • Research & Problem Solving: Use online tools and resources to independently find solutions to client questions, such as sourcing printing options or technical details.

  • Timeline & Milestone Management: Keep all projects on track by creating timelines, setting deadlines, and ensuring milestones are met on time.

  • Communication: Maintain clear and consistent communication with clients and internal teams to ensure expectations are met and any potential issues are proactively addressed.

  • Quality Assurance: Review and test projects before client approval to ensure they meet quality standards.

  • Client Collaboration: Translate client requirements into actionable design briefs and manage feedback effectively between clients and designers.


Qualifications:

  • Independent Problem Solver: Ability to independently “figure it out” using resources like Google, online tools, and networking with vendors.

  • Adheres to ‘Completed Staff Work’ Doctrine: Provide solutions that are complete and ready for approval, reducing the need for back-and-forth clarification.

  • Organized & Detail-Oriented: Exceptional organizational skills with strong attention to detail.

  • Vendor Relations: Experience working with vendors (printers, fulfillment services, etc.) and managing those relationships to ensure timely delivery.

  • Technical Proficiency: Strong understanding of project management software (e.g., Basecamp, Trello) and digital file management tools (Google Drive, Dropbox).

  • Strong Communicator: Excellent verbal and written communication skills for client and team interaction.

  • Proactive & Creative: Ability to handle multiple projects at once and create efficient solutions for client requests.


A Typical Project Includes…

  • Work with accounting department for billing

  • Create design brief for graphic designers based on client feedback and your ideas

  • Write content for project including headlines, basic ad copy, and gather logos and contact information if needed.

  • Work with graphic designers on initial concepts.

  • Present concepts to clients via email, gather feedback.

  • Work with designer to finalize projects.

  • Work with vendors, publications, or online print shops to submit final files.

  • Provide client with tracking dates and shipping details.


Preferred Experience:

  • Experience in an agency environment or as a project manager.

  • Familiarity with Basecamp or similar project management software.

  • Knowledge of working with vendors in the print industry.


Compensation & Benefits:

  • Salary: Negotiable based on experience.

  • Work Hours: Monday to Thursday, 8 a.m. to 4 p.m.; Friday, 8 a.m. to noon. Hybrid schedule option after 6 months, requiring at least 3 days in-office.

  • Bonuses: Sales bonuses and annual agency performance bonuses available.

  • Location: Wharton, TX (Preference for hybrid or in-office candidates, but remote candidates will be considered based on qualifications.)
