Marketing Coordinator - Working Ranch Cowboys Association

Amarillo, TX • Full-Time

The Working Ranch Cowboys Association (WRCA) located in Amarillo, Texas is currently taking applications for their Marketing Coordinator position. WRCA is a non-profit organization with the mission to promote ranching and to preserve the lifestyle of the working ranch cowboy. The WRCA Foundation is a sister 501(c)(3) organization with the mission to provide financial assistance to working ranch cowboys and their immediate families.

 

The Marketing Coordinator will have duties related to both WRCA and the Foundation. There are travel opportunities; mostly attending WRCA sanctioned ranch rodeos serving as the official representative of the organization.

 

The ideal candidate for this position will be a self-starter who enjoys a mix of set duties and ‘other duties as assigned’. Ranching knowledge/experience is preferred. The work flow changes dramatically during the year so the candidate will experience lighter days followed by days drinking from a fire hose.


Responsibilities

Serve as a knowledge expert on the management software (RENXT) used by the organization.

  • Coordinate internal membership processes for the association. Including (but not limited to) data entry into management software, preparation of payment for accountant, printing and mailing of member packets and ranch cards. Coordinate with Marketing Manager.

  • Coordinate internal processes for the foundation. Including (but not limited to) donor and scholarship data entry into management software, preparation of gift payment for accountant, printing and mailing of donor letter. Coordinate with Foundation Manager.

  • Attend/participate in online or in person trainings for continued education on best practices for the usage of the management software system.


Serve as a staff liaison to the World Championship Ranch Rodeo Vendor Shows.

  • Be the first point of contact for all vendors

  • Answer questions from prospective vendors and coordinate vendor show wait list

  • Prepare vendor show applications and ensure disbursement to all existing/prospective vendors

  • Receive and coordinate vendor show applications. Determine validity of applications for possible review/approval.

  • Coordinate with staff liaison to Trade and Trappings Show, Heritage Show and Ranch Expo on all matters related to the vendor shows


Serve as a staff liaison to the WRCA Foundation.

  • Assist in scholarship process throughout the year, would include new recipients, existing recipients, and new application requests.

  • RENXT Foundation elements as listed above.

  • Assist Marketing Manager and Foundation Manager to ensure proper marketing of scholarship programs through all channels (i.e. social, web, newsletter, etc.)

  • Assist with scholarship and donor correspondence.

  • Coordinate fundraising opportunities.

  • Coordinate with board meeting planning and materials.

  • Assist with Foundation’s aspects before, during, and after the World Championship Ranch Rodeo.


Coordinate event related details for sanctioned rodeos, youth qualifiers, endorsed events and WCRR ancillary events (i.e. ranch horse show, youth cow horse, special kids ranch rodeo).

  • Ensure receipt of event results from each event committee/contact

  • Compile and organize event results, pictures, videos, etc from each event

  • Process event results (quality control, build official results sheet, prepare/post for social/web and ranch radio show and ensure proper storage of all information)

  • Serve as staff liaison to WCRR ancillary events (i.e. ranch horse show, youth cow horse, special kids ranch rodeo)

    • Coordinate throughout the year with event personnel (secretary, judges, award sponsors, volunteers, stock contractors)

    • Coordinate onsite oversight of each activity


Coordinate shipping of Cowhand Supply House orders.

  • Ensure necessary supplies are on hand

  • Prepare and ship customer orders


Assist with marketing of Association and Foundation projects as needed. Attend and represent the organization at events as needed. (Including but not limited to: WRCA sanctioned rodeos, WRCA youth qualifiers, WRCA endorsed events, industry conventions, etc)


Coordinate projects as assigned by the Association Manager.


INTERNAL RELATIONS: Report to Association Manager. Will coordinate directly with Marketing Manager and Foundation Manager on relative projects as needed.


EXTERNAL RELATIONS: Will have contact with WRCA and WRCA Foundation board of directors. Will handle daily contact via phone, email or social media with ranch teams, cowhand supply customers, members, donors, sponsors and other constituents.
