Coors Western Art Coordinator – National Western Stock Show

INDEPENDENT CONTRACT EMPLOYEE: Coors Western Art

Coordinator - (20-25K art coordinator)

The National Western Stock Show located in Denver, Colorado is searching for a self-motivated Independent Contractor to work as the Coors Western Art Coordinator. Responsible for all day-to-day and year-round logistics of the events, exhibitions, and communications related to the Coors Western Art Exhibit and Young Guns.

TIME COMMITTMENT:

The Stock Show takes place for 16 days every January. The Coors Art and Young Guns events take place in December and January. The job is year-round, part time from approximately February through October and full time from December through January.

INDEPENDENT CONTRACTOR RESPONSIBILITIES:

  • Solicits donations and table sales from patrons, follows up with leads.

  • Creates all patron communications including table solicitation letters and emails, general e-blasts, buyer and patron thank you letters, and tax documents.

  • Acts as the event coordinator during all events including show previews, Young Guns Reception, Blue Jean Preview, Red Carpet Reception, and any other events such as anniversary or patron parties.

  • Completes logistics and planning for the Young Guns event including selling patron packages and designing and sending all collateral materials.

  • Determines low of events, creates and places Red Carpet VIP table signs and creates a table map for volunteers.

  • Coordinates décor and table layout for Red Carpet and Young Guns event set up.

  • Works jointly with a designated NWSS operations person who will assist with coordinating all shipping logistics, signage and print requirements, overseeing volunteers, daily accounting and reconciliation, and décor and table layout for events, data entry for artwork, data entry for various other projects, etc.

  • Manages event timelines, artist timelines and communications, and installer schedules.

  • Manages all artwork shipping logistics including contracting with freighting companies, manually transporting art to and from the lobby or freight loading area, creating and attaching all shipping documents, calling all patrons and artists to process payment for shipping, overseeing forklift operations with freight delivery. All deliveries will be accepted by ops person and brought to the gallery.

  • Completes all updates of Coors Art website and Masterpiece Manager database, including artist biography updates, tracking artist contact information, adding news items and videos, updating awards and event pages, poster, donation, and ticket links; determines all updates of Coors Art page on National Western website.

  • Processes artwork images for website, print, social media and designs Facebook and Instagram posts and website content.

  • Performs all data entry for artworks, contacts, table sales, and products.

  • Creates all reports and spreadsheets, and compiles year-end statistics; aggregates data from multiple sources and in divergent formats.

  • Performs daily accounting reconciliation.

  • Determines signage and print requirements including designing wall tags and directional signage.

  • Attends all full and many auxiliary (sub) committee meetings for Coors Art and Young Guns committees; creates meeting agendas and takes minutes.

  • Drafts the Coors Art Buyer’s Guide; writes and sends 4-6 press releases per year; replies to all media inquiries for images and information; manages social media accounts; compiles content for NWSS media staff and Visitor’s Guide.

  • Oversees over 100 volunteers; performs all volunteer trainings and creates volunteer training documents; trains and mentors an intern every Stock Show.

  • Manages the gallery during Stock Show, including assisting with opening and closing the gallery, managing volunteer needs and expectations, creating children’s scavenger hunt, dusting/cleaning, selling art, greeting patrons, working shifts unable to be filled by volunteers, fixing transaction errors, coordinating curator and artist tours.

  • Opens and closes the gallery for installation crew in November and December.

  • Organizes art gallery storage including closets and shared storage; manages Coors Art digital and physical files and archives.

  • Attends department head meetings, staff trainings, year-end recaps, volunteer thank you events, development committee meetings, and other required staff meetings at the National Western Stock Show.

  • The Artist in Residence Program is a program that may be added in the 2023 show at the discretion of the Coors Art Committee and NWSS management.

  • Other duties as assigned.
